App modules
Announcements
Announcements are your class noticeboard — the place where the teacher and committee share what matters most, so you never miss anything important.
- Announcements can be created by the class owner, an administrator, or a moderator.
- Urgent announcements stand out at the top of the list.
- Pinned announcements stay visible in the side panel.
- You can comment on announcements and add reactions.
- You can see stats: announcements per month, likes, and comments.
- You can copy a link to a specific announcement and share it with others.
- You can get a notification on your phone when a new announcement is posted.
Calendar
The calendar keeps all your class dates in one place, so you can see what's coming up at a glance.
- A monthly view with events marked on it.
- A list view showing upcoming events in chronological order.
- Events are added by an administrator.
Events
Events gather everything happening in the class over the year and make it easy for parents to share the prep — no chaos, no endless group chats.
- A list of upcoming events grouped by month.
- Create events with a date and start/end times, or mark them as "All day".
- The form requires a name and date; times are validated unless the event lasts all day.
- In the "Class organisation" section, parents can sign up and describe what they're bringing.
- An administrator or moderator adds shared tags (e.g. cake, water, fruit) for parents to tap. Any parent can also type their own item that isn't in the tags and join.
- A participant view showing each person's name and what they're preparing.
- A direct link lets you share a specific event.
- Events are created by a class administrator or moderator.
- Past events are hidden from the list automatically.
Attendance
When creating an event, an administrator can ask people to confirm whether they're coming. Parents answer with a single tap — "Yes" or "No" — and you can see at a glance who's attending.
- A summary with the number of people attending and the number who declined.
- Administrators and moderators see the full list of responses with names.
- Export the attendance list to CSV or PDF — the button is visible to administrators and moderators.
- The PDF includes a header with the event name and date, a summary, and a table of names and statuses.
- Handy for documenting meetings, trips, and class events.
Schedule & extra activities
The schedule shows your child's week — lesson times, substitutions, cancelled classes and extra activities, all in one view.
- A weekly plan with start and end times for every lesson.
- An administrator can edit the plan — adding, removing, and changing lessons.
- On a computer the plan is a table; on a phone it's a day-by-day list.
- Changes such as substitutions and cancelled lessons live in a separate tab.
- Notifications when the plan changes.
- Extra activities (e.g. English, sports, clubs) appear alongside the main grid, with their days and times marked.
- A parent can mark which extra activities their child attends — visible only to them.
- The dashboard shows the current or next lesson, plus that day's extra activities.
Days off & school holidays
Parentoo knows when days off and holidays fall, so the schedule won't show lessons that aren't happening — and you instantly know it's a day without school.
- On days off the schedule is hidden and replaced with a "No classes today" message.
- During holidays the app shows a "School holidays" message instead of an empty plan.
- The dashboard counts down to the next holidays.
- A central list of public holidays and breaks is managed for everyone and always kept up to date.
- A class administrator can also add their own days off (e.g. a teacher training day or a full-day trip).
- All other modules — announcements, chat, collections, and so on — keep working on days off.
Discussions
Discussions are the place for longer conversations — questions, ideas and decisions that are easier to follow in threads than in a flood of chat messages.
- Threads are grouped into a fixed set of topic categories (General, Finance, Trips, Education).
- Any class member can start a thread.
- Replies with quoting, and nested replies.
- Emoji reactions on replies.
- Attachments on threads and replies.
- Moderators can pin and lock threads.
- A direct link takes you back to a specific thread.
Chat
Chat is for private conversations between parents in the class. Messages are encrypted — only you and the other person can read them.
- Pick someone from the class member list to start a conversation.
- Messages are protected by a 4-digit PIN you set on first use.
- Without the PIN, encrypted messages cannot be read.
- The server stores encrypted data only — the conversation stays private.
- Your chat session stays open for 6 hours after the last message, so you don't have to enter the PIN every time.
- You can edit or delete your own messages.
- You can add emoji reactions to messages — press and hold a reaction to see who reacted.
- Long links are shortened automatically to make them easier to read.
- You can attach photos and files (within the class storage space).
Collections
Collections make it easy to raise money for a specific goal — a trip, a gift or a class purchase. Every parent can see how much has been gathered, and the treasurer keeps the payments tidy.
- Create a collection with a target amount (per pupil) and a deadline.
- Manage payments from the class member list, with changes saved automatically.
- Exclude parents whose children aren't taking part in the collection.
- Export to CSV and PDF.
- The treasurer can send phone reminders to parents who haven't paid yet.
- You can see the amount collected, the target, a progress bar, and a breakdown for each child.
- The treasurer's bank account number and phone number (for BLIK) are visible to parents, making the collection easy to pay.
- The treasurer sets the payment details (account number, phone, an optional transfer title) in the collection settings.
- Management is available only to class treasurers.
Class budget
The budget is the class treasury made transparent: one balance, a full list of income and expenses, and a record of what the treasurer has done. Every parent can see where the money goes.
- The current class balance is visible to every parent — a tile shows the account's current state.
- The transaction list shows income, expenses, the date, title, category, and who recorded each entry.
- Categories with an icon and colour (e.g. Gift, Flowers, Trip) — defaults plus the treasurer's own.
- Receipts attached to expenses as photos — up to 10 per transaction, with thumbnails in the list.
- Filters by date range and category, with a summary of total income, expenses, and net balance.
- A yearly settlement shows how much each parent paid during the school year and how much was due.
- Export the transaction list to CSV (a button for the treasurer).
- The dashboard has a shortcut with the balance and recent transactions.
- A regular parent can view the balance and list only — adding and editing is for the treasurer.
Polls
Polls are the fastest way to make a class decision or find out what parents think — no counting votes in the comments.
- Three poll types: Yes/No, single choice, and multiple choice.
- Polls can be anonymous or public. In public polls a "who?" button sits next to each option.
- A voting deadline sets when the poll closes.
- Each option shows a percentage progress bar — results update in real time.
- The creator or an administrator can close and delete polls.
- Polls can be created by moderators, administrators, and the class owner.
Photo Gallery
The gallery holds shared albums from school events. Only parents in the class can see the photos — they never go anywhere outside it.
- Any class member can create an album and add photos to it.
- You can upload many photos at once. The app shrinks them so they don't take too much space (max. 2 MB).
- Smaller previews load faster thanks to automatic thumbnails.
- Browse photos in a grid and open them full screen — on a phone, swipe between photos.
- Each photo shows who added it.
- Only a moderator, administrator, or class owner can delete albums; a photo can also be removed by the person who added it.
- Deleting an album removes every photo inside it — this can't be undone.
- Inappropriate photos can be reported with the flag button; the report goes to the moderator panel.
- Album covers and photo counts are shown in the list.
- Photos count toward the class's shared storage.
Shared view
Have children in more than one class? The shared view shows them all on a single screen — no more switching back and forth between classes.
- A tile for each child with their current lesson and next event.
- Unread announcements and new threads from every class, in one place.
- A shortcut to active collections with a progress bar.
- Handy when your children are in several classes or schools — it saves switching back and forth.
- Available from the side panel (the grid icon) and on the dashboard.
Notification settings
You decide what you want to hear about — notifications are set separately for each class, so you only get what genuinely matters to you.
- The bell icon in the top-right corner opens the notification panel.
- Clicking a notification tied to a specific item (announcement, thread, collection, poll, photo) takes you straight to that content.
- General notifications — e.g. from the school treasurer or an administrator — open in a pop-up with the full message.
- Click the gear icon in the panel to configure your preferences.
- For each class separately you can turn on or off: new announcements, comments, schedule changes, and urgent announcements.
- Changes are saved automatically (there's no "Save" button).
- Urgent announcements always get through, even when regular announcements are turned off — they're critical.
- On your phone you can also enable notifications in your device settings.
Class Meetings
Meetings keep your class gathering dates in one place, and once a meeting is over you can add the minutes so no one misses what was agreed.
- Create a meeting with a date, time, and location (room/building).
- A class administrator or moderator can add minutes after the meeting.
- Minutes can be published as an announcement on the class board.
- A view of upcoming and past meetings.
- Minutes show the author and the date they were last updated.
Parent Council
The Parent Council is a private space for parents on class committees and the school presidium — somewhere to work calmly, away from all parents. You can post updates, comment, and share files, separate from announcements visible to the whole class.
- The Parent Council page shows schools where you are on a committee or presidium, and the groups available to you.
- The "General" group is school-wide — visible to all class committee members and the school presidium.
- Each class with a committee has its own board — only that class committee can see it.
- The school administrator can create groups that combine several classes, e.g. "Years 1–3".
- Posts can include a title, text, and up to 10 attachments. Comment and like counts are shown.
- You can reply to posts (with quotes), add reactions, and attach files. Long posts can be expanded or collapsed.
- You can edit or delete your own posts and comments. "Share" copies a direct link to the post.
- The school presidium can publish a post from the "General" group as a school-wide announcement — it then appears in every class.
- Only members of a given group receive notifications about new posts.
Parent presidium
The parent presidium is the school's three-person team: chair, vice-chair and treasurer. Committee members can elect them by vote or assign roles manually — no paper ballots, no counting by hand.
- Council roles (chair, vice-chair, treasurer) are separate from roles on a class committee.
- The current presidium is shown on the "Parent presidium" card in the Parent Council module.
- Voting lasts 7 days. If everyone votes earlier, it closes automatically.
- Every class committee member in the school can vote for candidates — separately for each role.
- Results update in real time: vote counts appear next to each candidate.
- A progress bar shows how many eligible members have voted.
- If there is no council yet, any committee member can start a vote. Once a council exists, only the chair can.
- The chair can also assign roles manually, without a vote.
- If 6 people reject the vote, it is cancelled.
- The chair (or any committee member when there is no council yet) can remove an active vote.
- When voting ends, roles are assigned automatically to the candidates with the most votes.
- When a vote starts, all committee members get a notification in the app and on their phone.
Archive
The archive keeps older class content safe — it disappears from your current lists, but you can always bring it back when you need it.
- You can archive announcements, forum threads, photos, polls, collections, and events.
- Filter by content type to find what you need quickly.
- Preview archived content and restore it with one click (after confirming).
- Polls and collections can only be archived once they're closed — this keeps the active list tidier.
- Depending on the content type, a class administrator/moderator or the author can archive it.
- Archived items disappear from the main lists, but the data is preserved.
